Description
Major Responsibilities:
- Supports the Business Licensing & Regulatory Services front line customer service counter by receiving applications and renewals from the public for business licences, right of way permits, and vehicle for hire licences; ensure accuracy and completeness
- Supports the Business Licensing & Regulatory Services Call Centre operation by providing information to the public both verbally and electronically
- Enters data into a database that is related to vehicle inspections, processes transactions for mobile business licensing, and provides information to the public
- Responds to inquiries through multiple channels including in-person, telephone, email, and regular mail, requiring a broad knowledge of the operational area and function, or refers to the appropriate personnel
- Prepares, researches, maintains, and processes documents; identifies and corrects errors
- Inputs, updates and maintains data; drafts correspondence
- Operates office equipment and computers, utilizing a variety of computer software applying speed and accuracy
- Prepares forms and other business documents by utilizing layout, formatting, and keyboarding skills
- Maintains filing and retrieval systems for records and documents
- Receives documents and applications, invoices, and monies from the public or other levels of government and ensures accuracy and completeness
- Receives, balances, and records payments; issues, processes, and prints receipts and documentation
- Reviews applications with respect to compliance and/or eligibility
- Receives and processes payments for licences and permits
- Issues business licences and permits
- Prepares, sorts, processes, collects, opens, distributes, and delivers mail
Key Qualifications:
Your application must describe your qualifications as they relate to:
- Considerable experience working in a fast-paced front-line customer service and/or call centre environment.
- Considerable experience performing various clerical and administrative support duties.
- Considerable experience with computerized office systems e.g. POS machines, printers, etc.
- Experience using computers and a variety of software applications e.g. SAP, Microsoft Word, Excel, Outlook, etc.
- Experience in data entry, creating and formatting documents, reports, charts, and spreadsheets.
You must also have:
- Excellent conflict management and dispute resolution skills.
- Excellent keyboarding, proofreading, and data entry skills with emphasis on volume and accuracy.
- General understanding of current issues and trends in business licensing and the ability to respond to inquiries requiring knowledge of the operational/area/function.
- Ability to handle confidential and sensitive information with discretion and tact.
- General knowledge of the provisions of the City of Toronto Municipal Code as it pertains to Business Licensing and Regulatory Services.
- Excellent interpersonal skills with the ability to deal effectively with all levels of staff, councillors, the public and external contacts in-person, by telephone and in writing.
- Good organizational, analytical, and multi-tasking skills with the ability to meet deadlines and assess priorities.
- Ability to work effectively with other employees in a team-oriented environment and carry out instructions with minimal supervision.
- Good problem solving and decision-making skills with the ability to handle and resolve difficult situations in a professional manner.
- Ability to write in a clear, concise, and legible manner.
- Ability to use programs such as the Municipal Licensing & Standards Progress system, ICON (Integrated Courts Offenders Network), as well as the ability to conduct searches, such as the Ministry of Transportation (MTO) searches would be considered an asset.
